Hi Everyone,

As our teams return to training in preparation for the various competitions that commence next month we will gather together a bunch of the most common questions and answers and advice to help our coaches, players, parents and covid supervisors. The questions will be broken out into sections below and we will continue to add questions and answers in the coming days and weeks.

Everyone should read and strictly adhere to the Return to Play Guidelines we published before contacting coaches and members of the executive who are all very busy trying to ensure everything is in place for a safe return to play for all. So please READ the guidelines FIRST before reaching out for help - most of your queries will be covered in that publication. Click Here.

The GAA Covid-19 eLearning Module

Every coach, player, Covid-19 supervisor and and parents of players aged 16 and under MUST COMPLETE the Covid 19 GAA eLearning Education Module – save your certificate of completion as the Team Covid supervisor will want to see it. ** This is mandatory and we appreciate your cooperation **

The GAA Return to Play website

  1. A lot of parents are mistakenly adding themselves to the various team groups on the GAA Health Questionnaire and not their sons or daughters. A parent should click on the add new option and select For Someone Else. You should do this for each child - for each team the child will play for AND in each code. For example, if your daughter plays for U14 and U16 Camogie and your son plays for U16 and Minor Football and U16 Hurling you would add 5 submissions in total for your children. That means a parent clicking Add New and choosing For Someone Else and completing the questionnaire 5 times.

You can access the GAA Return to Play Questionnaire by clicking here.

Clane GAA Club App (ClubZap)

We will be using our club app ClubZap for all team communications and it will help us with ensuring a safe return to play for all - the app now includes the Covid19 health check as part of training and match events published by team coaches/communications managers. This allows our club to keep records of all players attending all training and matches which is extremely important for contact tracing in the event of any cases of Covid19 emerging. It also complies with all GDPR and GAA team communications rules and regulations and protects you and your data.

We encourage all members and in particular players, coaches and parents to download the club app (visit https://clubzap.com/download) and register with Clane Gaa if you have not yet done so (more help available here). If you already are using the App please ensure you update it to the latest version in your Apple App Store or Google Play Store - you can also click on the link above to check if you need an update. There is lots of information available on ClubZap Team Group Chat here and we are covering some of the basics below.

  1. How do I join a team group on the ClubZap mobile app?

Open the ClubZap App on your phone and select the Chat menu option at the bottom of the screen.
You should see a list of all the Groups in Clane GAA - you can now click on Request to Join for the relevant team(s). The Group Admin(s) will receive an alert and add you to the group.
If you are already a member of a group you can check who the admin is by tapping the 3 dots in the top right hand corner and tap on Group Info
You can leave a group by tapping on the 3 dots in the top right hand corner and select leave group
Detailed info available - click here
  2. Tips for coaches/team communications managers and Covid Supervisors

Please ensure your players/players parents know which group they should be joining in ClubZap, group admins can also manually add players and parents
Ensure your group has a clear and logical group name for players/parents to find
The Covid Supervisor for your team should be made an Admin in your group
Group Admins should NEVER leave a group until another Admin has taken ownership of that group. All Team Group Chat Admins should register here to ensure we have an up to date list of all team chat admins.
If you are already a member of a group you can check who the admin is by tapping the 3 dots in the top right hand corner and tap on Group Info
Further info on the whole process in ClubZap is available here with some short demo videos.
You should also check out these simple How To videos
  3. As a coach how will I invite my players to training/matches?

Team Chat Group Admins can create an event - inside of your team group chat, tap on the calendar icon in the bottom left hand corner. You can then provide details of the training session or match. Please be specific e.g. U17 Camogie Training or Senior Hurling Match v Celbridge; this helps us with record keeping (for tracing).
There is a NEW OPTION called Prerequisites at the bottom of the form which allows you to add the Covid-19 Return to Play form to your event. Players/Parents can then complete this declaration form before the training session/match event and indicate if they will be attending or not. Each team/group admin will then have a list of all players responses and the club will have a record of who attended what training/match event.
There is also a new Mark Attendance feature which allows the coach, Covid-19 Supervisor or any group admin to tick off who actually turned up for training. This will be very important for contact tracing purposes! To access this, a group admin can open the training or match event and just above where it has all of the people who responded yes, you will find a mark attendance option on the right hand side.
    Further details available here.
  4. As a Player or Parent - what should I do when my team coach schedules a training or match event?

You should get a notification when the team group chat admin schedules a training or match event. Enter the team group chat, find the event, respond to the request AND underneath the options Yes or No (to attend) you MUST COMPLETE the Covid-19 Return to Play declaration form by tapping on Complete Now option. Please ensure you read the Guidelines for parents information sheet which addresses what you need to do BEFORE coming to training, coming to training and after training - click here.
  5. As a Covid-19 Team Supervisor - what do I need to do on ClubZap?

You should ensure you have the latest version of ClubZap installed.
You should join the team group chat on which you are a Covid-19 supervisor.
Ask the team coach or group admin to make you an admin for the group.
Remind parents and players that they need to complete the Covid-19 declaration when they are responding to the training or match event.
Ensure that the attendance at training and matches is recorded - using the new Mark Attendance feature which allows the coach, Covid-19 Supervisor or any group admin to tick off who actually turned up for training. This will be very important for contact tracing purposes! To access this, a group admin can open the training or match event and just above where it has all of the people who responded yes, you will find a mark attendance option on the right hand side. Further details available here.

Please Note: Only members, players and parents over the Age of 18 can use the Chat/Messaging feature of the App.

We will continue to update this article with new questions and answers plus any useful tips in the coming days and weeks.

THANKS for your cooperation and support and please be patient as we work through these procedures.
